The Executive Assistant’s primary role will be to assist the CEO and CFOO with day-to-day tasks so that they can spend maximum time on strategic assignments. The role holder will also be required to help elsewhere at Peel Hunt supporting the other Team Assistants.
Role responsibilities
Responsibilities and tasks include, but are not limited to:
Full EA support to CEO and CFOO:
- First point of contact and gatekeeper for CEO and CFOO
- Diary management
- Inbox management for CFOO
- Managing complex schedules
- Visa applications
- Expense management
- Organising meetings (internal and external)
- Organising lunches and dinners (internal and external)
- Updating client and contact databases
- Screening calls
- Travel arrangements and visa applications
Working closely with Company Secretary & Legal Counsel:
- Organising Board schedule.
- Liaising with the Board.
- High-level contact with investors and executives internally and externally to organise meetings.
- Administrative support with projects.
- Creating and amending PowerPoint presentations.
Other:
- Providing cover when other secretarial members are away.
- Assisting with general company-wide administration duties as required.
- Ad-hoc duties as required.
- Have an understanding of the regulatory environment, and values and abilities consistent with the FCA conduct rules.
Job Requirements
- Experience supporting Senior Management / Board Level
- Excellent written and verbal communication skills
- Excellent telephone manner
- Maintaining confidentiality at all times
- High level of interpersonal skills
- Ability to work under pressure
- Highly organised and able to multi-task
- Competent in the use of Microsoft Office applications – Word, Excel, PowerPoint
